The record is correct. Why is the customer still waiting?

When your CRM has the record but not the workflow

The CRM can be accurate and the customer experience can still be messy. The warning signs are ordinary: nobody knows who is replying, the wrong quote gets sent or a promised follow-up lives in someone's private reminders.

Who should choose what?

Be honest about the work your team does every day.

These are starting points, not a score. Put the deciding workflow through a current trial or live demonstration.

A closer fit when

WRKZY

  • The latest customer request is hard to find from the CRM record.
  • Record ownership and current work ownership are routinely confused.
  • Deals and quotes drift away from the messages that shaped them.
  • Handoffs depend on calls, chat messages or private notes.
A closer fit when

Your current setup

  • The current CRM can represent the missing state cleanly.
  • A reliable integration can attach the conversation and next action.
  • The real issue is adoption, data quality or unclear team practice.
  • The current system's specialist depth matters more than consolidation.

The details

The best test includes the awkward exception and a handoff, not only the polished demo path.

01

Listen to the questions people keep asking

Who is replying? Which version is current? Did we promise Friday? Why is this back with sales? Has anyone followed up? Repeated questions point to state the system is not making clear.

Track the question and where the answer is found. You may discover one broken link rather than a reason to replace the whole CRM.

02

The account owner and the work owner are not always the same person

One person may own the long-term relationship while another owns today's support issue, quote revision or operational decision. A single owner field cannot always describe both jobs.

A useful handoff states the current question, the evidence that matters, who acts next, when it is due and where the work returns after completion.

03

Make the smallest complete change

Attach the source conversation if people cannot find the request. Add a distinct owner if responsibility is unclear. Add a due action if commitments disappear. Add a return path if handoffs never close.

Only widen the platform change after one real workflow proves that connected context produces a better result for the customer and the team.

Pricing

Price the setup you will really use.

The cheapest answer may be a process or configuration change. Compare it with the recurring cost of manual reconstruction, delayed replies, duplicate ownership, integration maintenance and a broader migration.

Moving your data

Prove the import with a small sample first.

If a new workspace is justified, migrate the open workflow as well as the customer records. Define current owners, commitments, due actions, source conversations and completion evidence before importing anything.
