Build a shared-inbox email campaign with governed contact-list audience, subject and body, unsubscribe readiness, test sends, and final launch review.

Before you begin

If the builder says email campaign setup is not ready, complete Shared email settings first. A private personal mailbox is not the campaign sender.

An email campaign is more than a message

A healthy shared sender and eligible audience precede content review and testing; recipient delivery, replies, and owned follow-up determine whether the campaign achieved its purpose.

Build the draft

  1. Open Campaigns → Email and choose Create campaign.
  2. Select the shared inbox whose identity and reply handling match the message.
  3. Give the campaign an operational name such as “July renewal follow-up.”
  4. Choose one or more Manual or Smart contact lists. WRKZY combines duplicate contacts and rechecks email eligibility.
  5. Review the recipient preflight: sendable, skipped, suppressed, unsubscribed, and invalid-address results.
  6. Enter the subject, preview text, and email body. You can apply a reusable email content template; it replaces content, not audience, sender, schedule, tracking, compliance, or attachments.
  7. Choose a primary outcome and review window when prompted by the campaign workflow.
  8. Save as Draft, Send now, or Schedule campaign.

Write for the customer’s decision

The subject and preview should accurately describe the message. Put the main value and action early, use descriptive links, and ensure the text version remains meaningful. Do not hide unsubscribe information or use misleading urgency. Reusable content still requires campaign-specific review.

Test before launch

Use Send test with authorized internal addresses. A test does not add campaign recipients or analytics. Inspect sender name, reply-to behavior, subject, preview, mobile layout, links, personalization, footer, and unsubscribe path. Test both a typical and a sparse-data version when variables are present.

Final review

The launch dialog confirms sender, audience, content readiness, schedule, unsubscribe setup, contact pressure, and delivery mode. Confirm that recipients expect the email and can unsubscribe. Saving a draft may be allowed while preflight is temporarily unavailable; launching rechecks it and remains blocked without a sendable audience.

Verify the saved campaign

Reopen the campaign and confirm Draft or Scheduled state, shared inbox, audience-list summary, subject, content, sendable and excluded counts, outcome, and schedule. A successful test email does not verify the campaign audience; the launch preflight must pass independently.

Recovery

If no sending connection is ready, enable and test one in Settings → Email. If no audience exists, create and review a contact list. If a scheduled campaign needs a new time, use Edit schedule; audience and recipient snapshot remain unchanged. Cancel schedule returns it to Draft while preserving that snapshot.
