- Workspace-administrator access
- Each teammate’s current work email address
- A clear reason each person needs access
Choose access before entering an email
WRKZY labels the normal customer-work role Member in Settings. Member is the recommended default. An Admin can manage workspace settings and access. Owner has full workspace control and is transferred only to an active member through a deliberate ownership change.
| Actor | Allowed action | Boundary |
|---|---|---|
| Workspace Owner | Add existing organization members; invite new people; assign Member or Admin; transfer ownership | Cannot transfer to an inactive person or to themselves |
| Workspace Admin | Add or manage Members | Cannot invite/promote an Admin or change the Owner |
| Organization Owner or Admin | Invite a brand-new user to the organization where the workspace flow permits | Workspace membership still needs an access level |
| Member | Work in assigned inboxes and CRM records | Cannot administer workspace membership |
Add an existing organization member
- Open Settings → Members and select Add member.
- Under Existing organization member, choose the person.
- Choose Member unless administrative responsibility is documented.
- Select Add existing member.
- Search the team-access table and confirm status and role.
- Ask the person to switch to this workspace and confirm only expected areas are visible.
Invite someone new
- Under Invite someone new by email, enter the work address.
- Select Member or, only when required, Admin.
- Select Send invitation.
- Check the result: WRKZY distinguishes Invite email sent, Invite saved, email not sent, and Invite saved, email failed.
- If needed, use the invitation menu to Resend invitation.
- Remove an invitation that is no longer valid.
An invitation record can exist even when email delivery failed. Do not create repeated invitations without checking the pending row.
Open full sizeManage existing access
Filter Members by Active, Invited, or Disabled. Owners and Admins cannot change their own membership through the same member action, which protects against accidental lockout. Before disabling someone, reassign their open conversations, deals, follow-ups, automation ownership, inbox roles, and approval responsibilities.
Ownership transfer is not a casual promotion. Confirm the target is active, briefed, MFA-ready, and able to manage billing and security escalation.
Verify least privilege
Sign in or ask the teammate to verify the role from Your access. Check team-inbox visibility separately; workspace membership does not mean access to every restricted inbox.
Recovery
For invitation trouble, confirm exact normalized email, pending status, delivery result, and whether the person already belongs to the organization. For unexpected access, disable the membership if safe, preserve the change time, and review Settings change history and owner-only session audit where appropriate.
- Correct workspace and work email confirmed
- Member chosen unless admin duties require more
- Invitation delivery result checked
- Restricted inbox access tested separately
- Open work reassigned before disablement
- Ownership transfer has an accountable handover
